Little Lumens Ltd (“Little Lumens”, “we”, “our” or “us”) is committed to providing a safe and healthy environment for everyone who attends our classes and events, including children, accompanying adults, staff and helpers.
This policy sets out how we manage health and safety in the venues we use and during the activities we deliver. It should be read alongside our Safeguarding & Child Protection Policy and our Booking Terms & Conditions.
1. Our Commitment
1.1 Little Lumens will take all reasonably practicable steps to ensure the health, safety and welfare of everyone attending or involved in our classes and events.
1.2 We recognise our responsibilities under the Health and Safety at Work etc. Act 1974 and related regulations, so far as they apply to our activities.
1.3 Overall responsibility for health and safety rests with the Director of Little Lumens.
2. Responsibilities
Little Lumens will:
-
assess and manage risks associated with our classes and the venues we use;
-
ensure equipment and props are suitable, clean and maintained in good condition;
-
ensure staff and helpers understand and follow this policy;
-
maintain public liability insurance;
-
respond appropriately to accidents, incidents and emergencies.
Accompanying adults are responsible for:
-
supervising their child at all times during the session;
-
following any safety instructions given by Little Lumens or the venue;
-
informing us of any medical conditions, allergies or additional needs relevant to safety;
-
ensuring their child does not place props or equipment in their mouth.
As set out in our Booking Terms & Conditions, Little Lumens classes do not constitute childcare, and responsibility for each child remains with their accompanying adult throughout the session.
3. Venues
3.1 Our classes are held in managed community venues and halls, which are owned and maintained by the venue operator. Responsibility for the structure, maintenance and statutory compliance of the building rests with the venue.
3.2 Before and during each session, Little Lumens takes practical steps to help keep the space safe, including:
-
identifying and noting the location of all fire exits;
-
ensuring fire exits and escape routes are kept clear and unobstructed;
-
ensuring doors are not blocked during the session;
-
ensuring external doors are kept secure while a class is in progress, so that children cannot leave unaccompanied and access is controlled;
-
carrying out a visual check of the class area for obvious hazards before children arrive.
3.3 Where we identify a hazard that falls to the venue to resolve, we will report it to the venue operator and, if necessary, suspend use of the affected area.
4. Risk Assessment
4.1 Little Lumens carries out a risk assessment for each venue before classes begin there, and reviews it regularly and whenever circumstances change.
4.2 Risk assessments consider matters such as the layout of the space, fire exits and evacuation routes, the condition of the floor and surfaces, the suitability of equipment, and access and security.
4.3 Identified risks are recorded together with the control measures put in place to reduce them, and records are retained and available on request.
5. Equipment & Props
5.1 All equipment and props used in our classes are selected to be age-appropriate and suitable for use with babies and young children.
5.2 Equipment and props are inspected regularly, cleaned in line with our hygiene practices, and removed from use if damaged or worn.
5.3 Accompanying adults are asked to ensure children use equipment appropriately and under supervision.
6. Fire Safety & Evacuation
6.1 At the start of each session, Little Lumens ensures it is aware of the venue’s fire exits, escape routes and assembly point.
6.2 Fire exits and escape routes are kept clear at all times during a session.
6.3 In the event of a fire or other emergency requiring evacuation, accompanying adults must take responsibility for their own child, follow instructions given, and leave the building by the nearest safe exit, proceeding to the assembly point.
6.4 Little Lumens will follow the venue’s fire and evacuation procedures, which take precedence in the building concerned.
7. Accidents & Incidents
7.1 In the event of an accident or injury during a session, Little Lumens will take reasonable steps to assist and will ensure the accompanying adult is informed.
7.2 Accidents, injuries and near-misses will be recorded, including the date, time, those involved, what happened and any action taken.
7.3 Where an incident is serious, we will seek emergency assistance by calling 999 without delay.
7.4 We will review accident and incident records to identify any patterns and improve safety.
7.5 Certain serious incidents may be reportable under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR), and we will make any such report where required.
8. Illness & Hygiene
8.1 To protect the health of all attendees, children and accompanying adults should not attend if unwell, in line with the illness provisions of our Booking Terms & Conditions.
8.2 We maintain hygiene standards for equipment and props, and ask all attendees to support these, as set out in our Booking Terms & Conditions.
9. Insurance
Little Lumens holds public liability insurance covering our classes and activities. Evidence of cover is available to venues and customers on request.
10. Policy Review
10.1 This policy will be reviewed at least annually, and sooner if there is a change in legislation, the venues we use, or the way Little Lumens operates.
10.2 The Director is responsible for keeping this policy up to date.
