BOOKING TERMS & CONDITIONS

Thank you for choosing Little Lumens.
These Booking Terms & Conditions (“Terms”) govern all bookings made with Little Lumens Ltd (“Little Lumens”, “we”, “our” or “us”), whether made through our website, booking platform, by telephone, by email or in person.
By making a booking with Little Lumens, you confirm that you have read, understood and agree to be bound by these Terms.
Please read these Terms carefully before making a booking.
1. About These Terms
1.1 These Booking Terms & Conditions (“Terms”) govern all bookings made with Little Lumens Ltd (“Little Lumens”, “we”, “our” or “us”), whether made through our website, booking platform, by telephone, by email or in person.
1.2 By making a booking with Little Lumens you agree to be bound by these Terms.
1.3 These Terms apply to all services and products offered by Little Lumens, including but not limited to:

Weekly classes;
-
Four-week courses;
-
Drop-in sessions;
-
SEND sessions;
-
Workshops;
-
Family events;
-
Private hire;
-
Birthday parties;
-
Gift vouchers;
-
Physical products;
-
Educational resources;
-
Future digital products and downloadable content.
1.4 Separate Website Terms of Use and Privacy Policy also apply to your use of our website.
2. Definitions
For the purposes of these Terms:
Booking means any confirmed reservation for a class, event, product or service.
Course means a programme consisting of multiple scheduled sessions sold together.
Drop-in Session means a single class booked independently of a Course.
Child means the child named on the booking.
Little Lumens Content means all original works created by or for Little Lumens, including but not limited to games, music, songs, activities, resources, branding and educational materials.
Parent or Carer includes a parent, legal guardian, family member, family friend, foster carer, social worker or any other adult accompanying the child and taking responsibility for them during the session.
Venue means any location where Little Lumens delivers its services.
3. Bookings
3.1 You must be at least 18 years of age to make a booking with Little Lumens.
3.2 All bookings are subject to availability.
3.3 A booking is only confirmed once:
(a) payment has been successfully received (unless otherwise agreed); and
(b) you receive confirmation from Little Lumens.
3.4 We reserve the right to refuse any booking where we reasonably believe we are unable to safely or appropriately provide the service requested.
3.5 Places are allocated on a first-come, first-served basis.
4. Age Suitability
4.1 Our age guidance is intended to ensure children receive activities appropriate to their stage of development.
4.2 Parents and carers are responsible for booking the most suitable class.
4.3 Little Lumens reserves the right to recommend an alternative class where this would better meet the child’s developmental needs.
5. Payments
5.1 Full payment must be received before a booking is confirmed unless otherwise agreed by Little Lumens.
5.2 Prices displayed at the time of booking are correct at the point of publication. We reserve the right to amend prices at any time; however, any changes will not affect confirmed bookings.
5.3 As Little Lumens is not currently registered for VAT, VAT is not charged on our services or products.
6. Waiting Lists
6.1 Where a class reaches capacity, customers may request to join a waiting list.
6.2 Joining a waiting list does not guarantee a place.
6.3 If a place becomes available, it will be offered at the sole discretion of Little Lumens and may be offered to the next eligible customer if no response is received within the stated timeframe.
7. Four-Week Courses
7.1 Booking a course reserves your child’s place for every scheduled session within that course.
7.2 Course places may not be shared between children.
7.3 Missed sessions do not entitle the customer to refunds, credits or replacement sessions.
7.4 At our sole discretion, and subject to availability, we may offer a make-up session where circumstances allow. This is a goodwill gesture only and shall not create any ongoing entitlement.
8. Drop-In Sessions
8.1 Drop-in sessions are available only where spaces remain after course bookings have been accommodated.
8.2 Availability may change at any time.
8.3 Little Lumens reserves the right to withdraw drop-in availability without notice where operationally necessary.
9. Cancellations & Refunds
Cancellations by You
9.1 Once a course has commenced, fees are non-refundable except where required by law or as set out in the Consumer Cancellation Rights below.
9.2 Drop-in bookings cancelled at least 48 hours before the scheduled session may, at our discretion, be transferred to another available session or refunded.
9.3 Cancellations received less than 48 hours before the class are non-refundable.
Consumer Cancellation Rights
Where you book online or at a distance, you have a statutory right to cancel within 14 days of your booking being confirmed and to receive a full refund, under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
However, if you ask us to begin a class or course within that 14-day period, you agree that this right may be reduced or lost once the service has started. In that case you would be entitled to a refund only for the portion of the service not yet provided, and no refund would be due once it has been fully delivered.
Nothing in these Terms affects your statutory consumer rights.
Cancellations by Little Lumens
9.4 We reserve the right to cancel, postpone or relocate any class due to circumstances including, but not limited to:
-
instructor illness;
-
venue issues;
-
severe weather;
-
insufficient attendance;
-
safety concerns;
-
circumstances beyond our reasonable control.
9.5 Where we cancel a session, we will offer one of the following:
(a) an alternative session;
(b) a credit towards a future booking; or
(c) a refund for the affected session.
10. Illness
10.1 To help protect all families attending our classes, children and accompanying adults must not attend if they:
-
have experienced vomiting or diarrhoea within the previous 48 hours;
-
have an infectious illness that may be passed to others;
-
have been advised by a healthcare professional to remain at home.
10.2 If a child becomes unwell during a session, Little Lumens may ask the accompanying adult to leave the class.
10.3 Missed classes due to illness are subject to clause 7.4.
11. Hygiene
11.1 Little Lumens takes the hygiene and cleanliness of all equipment and props seriously. All items used during sessions are regularly cleaned, inspected and replaced as necessary.
11.2 Accompanying adults are asked to support our hygiene standards by:
-
ensuring their child does not place props, equipment or shared items in their mouth;
-
using hand sanitiser where provided upon arrival;
-
informing Little Lumens of any known allergies or sensitivities before the session begins.
11.3 No food is to be consumed by adults or children during a Little Lumens session, except where required for medical or feeding reasons (such as breastfeeding or infant feeding). Food must not be shared with or made accessible to other children, so as to minimise the risk of allergic reaction.
11.4 All attendees are asked to follow reasonable hygiene instructions given by the session leader.
12. Medical Information
12.1 Parents and carers must provide accurate information regarding:
-
allergies;
-
medical conditions;
-
medication;
-
disabilities;
-
additional needs;
-
emergency contact information.
12.2 It is the accompanying adult’s responsibility to notify Little Lumens of any changes to this information before attending.
12.3 Failure to provide accurate information may affect our ability to safely deliver our services.
13. SEND & Additional Needs
13.1 Little Lumens welcomes children of all abilities.
13.2 Accompanying adults are encouraged to inform us before attending of any additional needs, disabilities, medical conditions or circumstances that may require reasonable adjustments.
13.3 Whilst we will always endeavour to accommodate individual needs wherever reasonably practicable, we cannot guarantee that every venue, activity or class format will be suitable for every child.
13.4 Dedicated SEND sessions may operate under separate booking arrangements where advertised.
14. Accompanying Adult Responsibility
14.1 The adult accompanying the child is required to remain on the premises for the duration of Little Lumens classes unless otherwise agreed in advance.
14.2 The accompanying adult is legally responsible for the supervision, behaviour and wellbeing of their child at all times.
14.3 Little Lumens classes do not constitute childcare, and responsibility for each child remains with their accompanying adult throughout the session.
15. Twins, Siblings & Additional Children
15.1 Each child attending a Little Lumens class requires an individual booking unless expressly stated otherwise.
15.2 Where twins are attending together, separate bookings must be completed for each child to ensure accurate attendance records, emergency information and class ratios.
15.3 Siblings may only attend where the class format permits and an appropriate booking has been made.
15.4 Little Lumens reserves the right to refuse attendance where the appropriate booking has not been made.
16. Respect & Inclusion
16.1 Little Lumens is committed to providing a welcoming, inclusive and respectful environment for all children, accompanying adults and staff.
16.2 Behaviour which is abusive, discriminatory or disruptive will not be tolerated. Little Lumens reserves the right to ask any individual to leave a session where this standard is not maintained.
16.3 Little Lumens operates in accordance with its Equality & Diversity Policy, which is available on request.
17. Little Lights Programme (Kindness Spaces)
Little Lumens runs the Little Lights programme to help make our classes accessible to families who may not otherwise be able to attend. As part of this programme, Little Lumens offers at least one free place (a “Kindness Space”) in every class and workshop.
Receiving a Kindness Space
17.1 Families wishing to be considered for a Kindness Space are invited to complete a Little Lights application form. A member of the Little Lumens team will then contact the family and arrange their booking. Kindness Spaces cannot be self-booked.
17.2 Kindness Spaces are allocated at the sole discretion of Little Lumens.
17.3 A Kindness Space has no cash value and cannot be exchanged, refunded or transferred for cash, credit or any other alternative.
17.4 A Kindness Space is allocated to a specific family and child and is non-transferable to any other person.
17.5 If a booked Kindness Space is not attended, the place is forfeited. It does not roll over, accrue or convert into a future session, credit or alternative.
17.6 Families attending through a Kindness Space are bound by these Booking Terms & Conditions in the same way as any other customer, including the provisions relating to behaviour, illness, health and safety and safeguarding.
17.7 Little Lumens guarantees at least one Kindness Space per class or workshop, regardless of the level of donations received into the Little Lights fund.
Donating to the Little Lights Fund
17.8 Families and businesses may choose to make voluntary donations into the Little Lights fund to support additional Kindness Spaces. Such donations are gratefully received and are additional to the places Little Lumens already provides.
17.9 Donations are voluntary and non-refundable.
17.10 A donation does not purchase, reserve or name a place for any particular child or family, and creates no entitlement to a place. All donations go into the general Little Lights fund.
17.11 Little Lumens administers the Little Lights fund and allocates Kindness Spaces at its sole discretion. Little Lumens Ltd is a private limited company and not a registered charity; donations are not charitable gifts and no Gift Aid or tax relief applies.
17.12 Little Lumens may amend, pause or withdraw the Little Lights programme at any time. The offer of a Kindness Space on one occasion does not guarantee the offer of a place on any future occasion.
18. Lost Property
18.1 Little Lumens accepts no responsibility for personal belongings lost, stolen or damaged whilst attending classes or events.
18.2 Any property found at a venue will be retained for a reasonable period before being disposed of or donated where appropriate.
19. Photography & Media
19.1 Little Lumens may take photographs or video footage during classes and events for use in marketing materials, social media and our website.
19.2 Where you do not wish your child to be photographed, you must inform Little Lumens in writing before the session.
19.3 Photography and video of your own child during sessions is permitted. You must not take photographs or recordings of any other child or adult without their express prior consent.
19.4 You must not share, publish or distribute any photograph or video featuring another person’s child without that person’s express consent.
19.5 Little Lumens reserves the right to ask that all photography and filming cease if these Terms are not being observed.
20. Intellectual Property
20.1 Little Lumens is the owner or licensee of all intellectual property rights in the Little Lumens Content, including but not limited to:
-
all original games, activities and session formats created by Little Lumens;
-
all original music and songs composed or written by Little Lumens;
-
all educational resources, printed materials and digital content produced by Little Lumens;
-
the Little Lumens name, logo and brand identity.
20.2 All such rights are reserved. Nothing in these Terms grants you any right to use, reproduce, adapt, distribute or exploit any Little Lumens Content without our prior written consent.
20.3 You must not record, copy, share or reproduce any part of a Little Lumens session — including any games, activities or music performed during a session — for any commercial purpose whatsoever.
20.4 Personal, non-commercial recordings of your own child during a session are permitted subject to clause 19, but must not be used in a way that reproduces or exploits Little Lumens Content.
20.5 Any unauthorised use of Little Lumens Content may constitute an infringement of copyright or other intellectual property rights and may result in legal action.
21. Health & Safety
21.1 Customers are required to follow all health and safety guidelines communicated by Little Lumens or the venue.
21.2 In the event of an accident or medical emergency, Little Lumens staff will take reasonable steps to assist. The accompanying adult must ensure that up-to-date emergency contact and medical information is provided at the time of booking.
22. Force Majeure
Little Lumens shall not be liable for any delay, cancellation or failure to perform its obligations where such delay or failure results from events beyond our reasonable control, including but not limited to severe weather, venue closures, public health emergencies, industrial action, utility failure, government restrictions or other unforeseen circumstances.
Where reasonably practicable, alternative arrangements will be offered.
23. Liability
Whilst Little Lumens takes all reasonable steps to provide a safe and enjoyable environment, participation in our classes and events is undertaken at the customer’s own risk.
Nothing within these Terms excludes or limits liability where such exclusion would be unlawful, including liability for death or personal injury arising from negligence, fraud or fraudulent misrepresentation.
Subject to the above, Little Lumens shall not be liable for any indirect or consequential loss arising from attendance at our classes, use of our services or purchase of our products.
24. Privacy & Data
24.1 Little Lumens processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
24.2 Personal data collected at the time of booking will be used solely for the purpose of managing your booking and providing our services.
24.3 Full details of how we handle your personal data are set out in our Privacy Policy, available at www.littlelumens.co.uk.
25. Complaints Procedure
Stage 1 — Contact Us Directly
25.1 If you have any concern or complaint relating to a booking or session, please contact Little Lumens in the first instance by emailing hello@littlelumens.co.uk or by telephone on +44 7362 918286.
25.2 We take all complaints seriously and will endeavour to resolve most concerns promptly and informally.
Stage 2 — Formal Complaint
25.3 If you are not satisfied with the outcome of Stage 1, you may submit a formal written complaint to hello@littlelumens.co.uk, marked for the attention of the Director.
25.4 We will acknowledge your complaint within five (5) working days and provide a written response within twenty-one (21) days of receipt, either confirming our decision or inviting you to discuss the matter further.
25.5 Nothing in this complaints procedure affects your statutory rights.
26. Severability & Waiver
Severability
26.1 Each clause of these Terms operates separately. If any court or relevant authority finds any clause to be unlawful or unenforceable, the remaining clauses will continue in full force and effect.
Waiver
26.2 If Little Lumens fails to enforce any right or obligation under these Terms, or delays in doing so, that shall not constitute a waiver of that right or obligation.
26.3 Any waiver by Little Lumens must be confirmed in writing. A waiver in one instance shall not automatically apply to any future default or breach.
27. Governing Law
These Terms shall be governed by and construed in accordance with the laws of England and Wales.
Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
